VOICE MAIL AND ONLINE MESSAGE GUIDE

USING THE VOICEMAIL SYSTEM
The voicemail system is menu driven. Listen to the voice prompts and then press the keys on your phone to select which option you would like.
ACCESSING VOICEMAIL
The first time you access your voicemail box you will be asked to set up your mailbox, and record your name and a greeting to be played by callers (see page 2). When you have one or more unheard voice messages waiting, your phone may display a solid red light on the top of the phone.
FROM YOUR OWN PHONE:
• Dial *98 or (605) 697-8700
• Enter your password or for first time access 112298#.
• If you have new messages, the messages will be identified.
• After hearing any new messages, you will be presented with the Voicemail Main Menu. The Main Menu options are listed in the next column.
FROM ANOTHER PHONE:
• From an external phone dial the voicemail access number. (605) 697-8700.
• When prompted, enter your 10 digit phone number.
• When prompted, enter your voicemail password + #.
• If you have new messages, the messages will be identified.
After hearing any new messages, you will be presented with the Voicemail Main Menu. The Main Menu options are listed in the next column.

FORWARDING A MESSAGE
While listening to messages, you can send a copy of the message to another recipient.
• To Forward the current message, press 5.
• Enter an extension number or Distribution Group Number. Repeat this step until you’ve entered all the desired destinations.
• Press # when finished entering destinations.
• You will be prompted to record an introduction.
• After the tone, record your introductory message and press # when finished.
• Press # to send or press 1 for delivery options, followed by # to send. Delivery options include the following:

REPLYING TO A MESSAGE—DIALING THE ORIGINATOR
• While listening to a message, you can call the person back by pressing 4 and selecting option 1.
• This capability will not work if the voicemail system was not able to identify the Caller ID information when the original voicemail was received or if your phone is configured with call restrictions which prevent you from calling
the originator’s number.
CHANGING YOUR VOICEMAIL PASSWORD
• Access your voicemail box.
• From the Main Menu, press 4 to change your settings.
• Press 3 for security options.
• Press 1 to change the PIN.
RECORDING YOUR PERSONAL GREETING
• Access your voicemail box.
• From the Main Menu, press 3.
• To set up a personal greeting press 1.
• To set up a system generated greeting or to change the recording of your name press 3.
• To change the greeting that callers hear when you’re busy press 5.
• If you don’t record a person a greeting, a generic greeting will be played.

BEFORE YOU BEGIN
• One mailbox is the Administrator of the group greeting for sub-mailboxes.
   The group greeting directs callers to individual sub-mailboxes.
• Once the group greeting is recorded, sub-mailbox owners can record
   greetings and set passwords for their own sub-mailboxes.

FOR THE ADMINISTRATOR
Record your group greeting from the phone subscribed to the service.
1. Dial 692-8500.
2. Enter your 7-digit Mailbox Number.
3. Listen to the recording. At the end, press * to administer the group greeting.
4. Enter your Password, than press #.
5. Press 4 to record a group greeting. When finished recording, press #.

Example: “You have reached the Smith residence. To leave a message
for John, press 1. To Leave a message for Jane, press 2.”

THE BASICS
ACCESS YOUR VOICEMAIL
From the phone subscribed to the service:
1. Dial 692-8500, or *98.
2. Enter your 7-digit Mailbox Number.
3. Enter your single-digit Mailbox ID (1-9).
4. Enter your Password, then press #.
From a different phone:
1. Dial 692-8500.
2. Enter your 10-digit Mailbox Number.
3. Enter your single-digit Mailbox ID (1-9).
4. Enter your Password, then press #.

RECORD YOUR GREETING
1. Access your voice mailbox.
2. Press 9 for the mailbox set-up menu.
3. Press 1 for Greeting Options.
4. Press 2 to record your greeting. When finished, press #.
5. If you are satisfied with your greeting, hang up, or press *
    to return to the Main Menu.

CHANGE YOUR PASSWORD
1. Access your voice mailbox.
2. Press 9 for the mailbox set-up menu.
3. Press 2 to change your password.
4. Enter your new Password, then press #.
5. When prompted, enter your new Password again, then press #.

MESSAGE RETRIEVAL (Press 1 from Main Menu)
Press 1 – Play the message again
Press 2 – Save the message and play the next
Press 3 – Delete the message and play the next
Press 4 – Save the message as ‘new’
Press 5 – Reply to the message
Press 6 – Forward the message to another mailbox
Press 7 – Skip backward in the message
Press 8 – Pause the message
Press 9 – Skip forward in the message
Press * – Return to Main Menu

MAILBOX SET-UP (Press 9 from Main Menu)

                 Ring your pager or other phone when voicemail is received.
Press 6 – Set up/edit Distribution Lists

                 Allow callers to press ‘0’ to be transferred to a different number.

ONLINE MESSAGING

Use email to access your voicemail

1. Check your email as you normally would.

2. When you receive a voicemail message, an email from  ‘voicemail@swiftel.net’ will be delivered to your Inbox. The message will have an attachment.

3. Open the attachment and your media player will play the message.

4. If desired, you can save the attachment to your computer.

5. Follow the user-friendly links to save
or delete the message from the
voicemail system.
